Guidelines


Booking Procedure

Bookings will be organised through First's coach hire department - Grampian Coaches. An approved booking form is included within these guidelines.

First Class will be transported to the agreed locations, as a stationary facility where the course(s) is/are to be provided.

Where possible one person per organisation should be allocated as the central contact to deal with all bookings. That person should complete a booking form and email to Grampian Coaches on grampian.tours@firstgroup.com. This should be followed up by an email to confirm the booking form has been received. Alternatively, please complete our online booking form.

Grampian Coaches will confirm the booking and will arrange for the bus to be at the agreed location on time, fuelled and cleaned with a suitably qualified driver.

Conditions

  • Bookings will be confirmed on a first come first served basis. No priority will be given to any organisation.
  • Where possible, First should be given at least 2 weeks notice of a booking. Bookings with less than 2 weeks will be considered and accommodated if possible, however any booking given less than 2 weeks notice will be subject to availability.
  • Block bookings of more than 2 consecutive days will be subject to demand at the time.
  • Bookings can only be made for venues in Aberdeen city and Aberdeenshire.
  • Venues should, where possible, be located near a facility that allows power to be gained via the mains supply. Approximate length of cable to mains power is 50 metres. First Class requires a 13amp power supply to operate limited equipment on board. A 13amp supply will power all lighting, 4 computers in the lower deck, plasma screen and linked computer in the upper deck and the air conditioning unit. It does not provide enough power for the fan heaters on board - please ensure you do not switch these on. If you are unable to gain access to mains power, the organisation using First Class will be responsible for hiring a suitable generator. We suggest you contact Hewden on 01224 595102.
  • Appropriate action should be taken to ensure that there is sufficient space (allowing for a turning circle) for First Class to access. The dimensions are 4.42m high x 9.5m long x 2.5m wide. The weight is 9881 kgs.
  • The bus is not insured as a passenger carrying vehicle and therefore no persons other than the driver should be on board when the vehicle is moving.
  • All bookings are made on the basis that the user group will provide adequate supervision for those on board and all those in contact with children will have 'basic disclosure' through Disclosure Scotland.
  • First will not be involved in the provision of the course(s). A bus driver, will be stationed within the bus throughout the period the persons involved in the provision of the course(s) and the young persons attending the course(s) are present but will have no responsibility for the instruction or supervision of persons on the bus for the purpose of providing or attending the course(s).
  • The bus has a maximum capacity for 25 people.
  • The bus is fitted with a ramp to allow wheelchair access downstairs only.
  • No foodstuffs are to be consumed on board the vehicle.
  • An individual organisation is responsible for returning the vehicle and all property as they received. All damages must be paid for financially.

As the provider of the course(s) each organisation will be solely responsible for:

  • Ensuring the safety of all persons on the bus for the purpose of providing or attending the course(s); without prejudice to the generality of that obligation, you will ensure that you, and those acting on your behalf, comply with all relevant common law and statutory duties and that all appropriate precautions are taken in order to avoid exposing persons on the bus to risks to their health or safety.
  • Providing adequate information and instruction to, and supervison of, all persons on the bus.
